Direct Messages and Support: What You Need Before Opening the Channel
Replying in private is where the sale is made or lost. Opening it without organisation does more harm than good.
Private messages are the point where an interested person becomes a client or stops trying. It's also the channel opened most casually: one button, and from then on whoever writes expects an answer.
Response time is a promise
People writing in private expect conversation timing, not email timing. If you can't reply within a few hours on working days, it's better to say so in the profile than to let the wait say it for you.
What to have ready first
- Answers to the five questions that always come, written and reusable but adapted each time.
- A way to tell within two exchanges whether the enquiry suits you.
- The next step, stated: a call, a form, a quote.
- Who replies when the person who replies is away.
The limit to respect
Personal data, payments and documents don't belong in chat. Not out of formality: those channels don't offer the necessary guarantees and leave no record you can use in a dispute.
When not to open it
When nobody can cover it. A channel with unanswered messages signals more disorganisation than a closed one, and it's visible to people who never wrote.
An unanswered message says more about how a business is run than any published post.
